The La Jolla Beach & Tennis Club is in search of a dedicated Seasonal Coordinator for our Tennis and Golf Programs to enhance our exceptional oceanfront experience.

This role is part-time and seasonal, with a particular need for coverage on weekends. Compensation is set at $20 per hour.
Role Summary:
The Coordinator serves as the primary contact for members and guests participating in tennis, golf, and pickleball programs.
Responsibilities include greeting visitors, managing communications, and providing information in response to inquiries.
Administrative support will be provided through various assigned tasks.
Upholding LJBTC, Inc.'s service standards is essential to ensure our members and guests have a memorable experience.
Key Responsibilities:
- Assist the Director of Tennis and Pro Staff with tennis and golf programs and events.
- Manage the opening and closing of the pro shop, playground, bocce, and golf course.
- Welcome visitors, determine their needs, and direct them to the appropriate areas or personnel.
- Ensure that all tennis, golf, ping pong, and bocce equipment is adequately stocked and report inventory needs.
- Facilitate rentals for equipment and manage billing for members and guests.
- Cross-train and provide support at the tennis desk as necessary.
- Coordinate lesson and court bookings via various communication methods.
- Maintain master schedules for pro staff and oversee the Court Reservation system.
- Verify participant eligibility through membership or sponsorship.
- Address billing inquiries with the support of the director or membership office.
- Manage communications through phone and email, ensuring timely responses.
- Support administrative functions during national tournaments and events.
- Process incoming department mail and prepare outgoing correspondence.
- Assist in maintaining accurate records for adult and junior program participation.
- Compile and prepare rosters for junior tennis and golf programs.
- Document minutes during departmental meetings.
- Utilize purchasing systems for tracking orders and invoices.
- Maintain the pro shop, anticipating seasonal supply needs.
- Report maintenance issues as necessary.
- Oversee inventory of office supplies and departmental materials.
- Collaborate with the Membership Department to ensure event calendar availability.
- Other duties may be assigned as needed.

The Tennis and Golf Programs Coordinator will often be the first point of contact for our members and guests. It is crucial that this individual embodies the essence of hospitality, ensuring that every guest feels welcomed and valued during their visit.

To excel in this position, candidates must meet the essential duties satisfactorily. The qualifications listed below represent the knowledge, skills, and abilities required for this role.
Education and Experience:
A minimum of three years of relevant experience or training in a related field is required.
Language Skills:
Ability to read and interpret documents such as safety rules and operating instructions. Proficient in writing routine reports and effectively communicating in English with guests and staff.
Mathematical Skills:
Competence in managing basic spreadsheets and performing calculations related to discounts and percentages.
Reasoning Ability:
Ability to apply common sense to follow instructions and solve problems involving multiple variables.
Certificates and Licenses:
CPR & First Aid Training Card, Mandated Reporter Certification, and Abuse Reporting Training.
Physical Demands:
The physical requirements of this role include regular communication, standing, walking, and the ability to lift and move items up to 25 pounds.
Working Conditions:
This position may involve working outdoors in various weather conditions and interacting with a diverse range of guests and staff.
Scheduling:
Flexibility in scheduling is necessary, as the business operates seven days a week, and shifts may vary based on operational needs.
