Position Overview

The Senior Executive Coordinator and Event Organizer will deliver high-level administrative support and client engagement. This role involves assisting Managing Directors and their teams by offering superior organizational and planning capabilities. The successful candidate will manage schedules, coordinate meetings, and arrange travel logistics for executives.

Key Responsibilities
  • Meeting Coordination: Organize and facilitate meetings, ensuring all logistics are handled efficiently.
  • Communication Management: Serve as a liaison between clients, prospects, and advisors, managing correspondence and scheduling.
  • Travel Arrangements: Coordinate travel plans, including flight and hotel bookings, and maintain travel documentation.
  • Expense Management: Prepare and submit expense reports on behalf of executives, ensuring accuracy and compliance.
  • Reception Duties: Provide a welcoming atmosphere for clients and visitors, managing incoming calls and inquiries.
  • Office Coordination: Oversee the organization of conference rooms and lobby areas, ensuring they are well-maintained and equipped.
  • Client Support: Assist in preparing for client meetings and follow-up communications, ensuring all materials are ready and accessible.
  • Business Development Support: Aid in research and preparation for business development initiatives, contributing to the onboarding of new clients.

Qualifications
  • Associate degree in a business-related field or equivalent experience.
  • A minimum of 3 years of administrative experience in a dynamic environment supporting senior executives.
  • Proficient in Microsoft Office Suite and familiar with CRM systems.
  • Exceptional organizational skills with a keen attention to detail.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple tasks in a fast-paced setting.
  • Professional demeanor with a commitment to confidentiality.

Working Environment
  • Position requires on-site presence during standard business hours.
  • Involves extended periods of sitting and computer usage.
  • Limited travel may be required for client meetings.
