Our client is a well-known private Ivy League research University and Education Leader and they are looking for a Program/Event coordinator to join their growing team on a 3 month contract. This role will work 35 hours per week. The Program/Event Coordinator will be responsible for administratively supporting one or more established programs that serve faculty, staff, students or executive education participants. Responsibilities may include answering phones, providing customer service, maintaining program related data on spreadsheets, preparing program materials such as handouts, binders, name-tags, and table tents. This role will also prepare and process expense reimbursements in a timely and accurate manner. Lastly, this role will be responsible for assisting in Event Planning- You will provide material management around events, attendee coordination, travel coordination, and possible on-site support. responsibilities:
A.) Financial Administration:

1. Expense Management:

  • Prepare and submit expense reports using Concur.

  • Track and process reimbursements for staff and event attendees.
2. Budget Monitoring:

  • Assist in monitoring event budgets and ensuring expenditures are within the allocated amounts.

  • Maintain accurate records of all financial transactions related to events.
B.) Event Planning

1. Material Management:

  • Order, ship, and track event materials.

  • Ensure all printed materials are prepared and delivered on time.
2. Attendee Coordination:

  • Maintain and update attendee lists.

  • Communicate with attendees regarding event details, confirmations, and any changes.
3. Travel/Logistics Coordination:

  • Book travel arrangements for attendees, speakers, and staff.

  • Reserve and manage accommodation reservations with hotels.
4. On-site Support:

  • Provide on-site support during events, including setup, registration, and troubleshooting.
C.) General Administrative Support:

1. Communication:

  • Serve as a point of contact for event-related inquiries.

  • Draft and distribute event-related communications and updates.
2. Data Entry/Management:

  • Maintain and update trackers related to event planning and attendee information.
3. Office Support:

  • Assist with general office duties, such as copying, filing, and organizing.

  • Support other team members with administrative tasks as needed.
4. Resource Management:

  • Manage inventory of event supplies and materials.

  • Ensure timely reordering of supplies as needed.
qualifications:
  • Experience level: Experienced
  • Minimum 5 years of experience
  • Education: Bachelors
