Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant/Public Finance Associate to join our team at Prestige Staffing, Inc. This is a full-time, in-office position that requires a strong background in financial services and excellent communication skills.

Key Responsibilities
  • Provide comprehensive administrative support to the Public Finance team, including scheduling meetings, coordinating travel arrangements, and preparing expense reports.
  • Assist with database/file backfill, organize emails and schedules, and coordinate sponsorships, conferences, and events.
  • Monitor inventory and order office supplies, presentation supplies, and special orders.
  • Plan, order, and coordinate holiday cards and client gifts.
  • Update and maintain deal lists and statements of qualifications.
  • Assist with RFPs, proposals, and special projects, including mailing to clients, monitoring/ recording RSVPs to events, and database updates.
  • Develop and track annual marketing schedules and work with the team to develop and send marketing emails through JangoMail.
  • Plan and coordinate client events and work with the team to develop and implement CRM for regulatory disclosures, engagement letters, and BPA's.
Requirements
  • 3+ years of administrative experience in a financial services firm.
  • Public finance background is highly desirable.
  • Ability to work with computers and various software programs, including Microsoft Excel, PowerPoint, and Word.
  • Strong attention to detail, efficient and accurate typing, proofreading, researching, filing, and other general administrative skills.
  • Ability to multi-task, prioritize, and have strong organizational skills.
  • Ability to learn and maintain knowledge of and comply with FINRA, SEC, and MSRB regulations regarding public finance business.
  • Ability to work with minimal supervision, either independently or as a team member, under strict time constraints and handle high-pressure situations.
