PeopleShare is currently seeking a Reception Coordinator for an educational institution in the Princeton, NJ area.
Schedule: Monday- Friday 7:15am- 3:30pm
Compensation: $42-$45k salary Type: Direct Hire

Key Responsibilities:
  • Welcome and greet students, parents, faculty, staff, and visitors with a warm and inviting demeanor.
  • Oversee visitor access to the school premises, adhering to established safety protocols and issuing visitor badges as needed.
  • Handle incoming phone calls, directing them to the appropriate personnel and taking accurate messages when required.
  • Provide clear and precise information regarding the school's programs, events, policies, and procedures to parents, visitors, and callers.
  • Manage supply orders efficiently.
  • Assist in the setup and execution of school events.
  • Receive and distribute mail, packages, and deliveries to the correct recipients within the institution.
  • Coordinate outgoing mail and packages while maintaining the school's shipping accounts and postage meter in collaboration with the Business Office.
  • Ensure the front desk and reception area are organized and presentable, with all informational materials current and accessible.
  • Maintain student attendance records by accurately documenting absences, late arrivals, and early dismissals using an attendance management system.
  • Work with the Registrar, Dean of Faculty, and School Leadership Team to manage faculty absences and substitute coverage.
  • Keep an organized filing system for important documents and records.
  • Coordinate office supply orders and update the Business Office regarding budgeting for supplies.
  • Support school events, meetings, and parent-teacher conferences by assisting with scheduling and logistical arrangements.
  • Collaborate with the School Leadership Team on various tasks, including data entry and report generation.
  • Maintain confidentiality and professionalism in all interactions.

Qualifications:
  • High school diploma or equivalent; additional education or certification in office administration or customer service is advantageous.
  • Exceptional interpersonal and communication skills, capable of interacting effectively with a diverse range of individuals.
  • Ability to maintain authority and manage the front desk operations smoothly.
  • Proficiency in Excel, PowerPoint, and Microsoft Office with a minimum of 4 years of experience.
  • Strong administrative capabilities.
