Daily Responsibilities:
- Key skills sought: Mailroom operations, shipping and receiving, troubleshooting printing equipment, and copy/print tasks.
- Personnel will operate at multiple client sites, both independently and under supervision, with training provided.
- Ability to resolve minor printer issues and a general understanding of office printing equipment is essential.
- Mailroom duties include managing incoming and outgoing mail in accordance with site protocols.
- Reception and hospitality responsibilities may involve answering and directing calls, scheduling conference rooms via Outlook, and engaging with clients through various communication platforms.
- Flexibility to be reassigned to different sites during the workday is necessary.
- Work hours may vary by location, typically ranging from early morning to evening shifts.
- Occasional overtime may be required.
- Standard workweek is Monday through Friday, with availability required between morning and evening hours.
Job Duties and Responsibilities:
- Serve as a vital member of the service team, supporting daily operations for all contracted services within a specified geographic area.
- Provide coverage for absences or vacations of onsite personnel, which may include site management responsibilities.
- May need to report to alternate sites, which could involve walking, driving, or using public transport, potentially resulting in longer commute times.
- Assist management in process enhancement, procedural testing, and validation, ensuring compliance with operational best practices.
- Support Field Implementation Managers in onboarding new customer accounts and service expansions.
- Facilitate the training of new team members and cross-training of colleagues.
- Contribute to the development of Site Procedure Guides and share best practices across the geographic area.
- Regularly review Site Procedures Guides at various locations for accuracy and compliance.
- Conduct daily inspections of site services and ensure compliance with safety standards for clients and customers.
- Foster a customer-centric environment.
- Responsible for escalating customer concerns to management and supporting resolution efforts.
- Communicate effectively and respond promptly to inquiries from customers and end users.
- When applicable, accurately submit monthly expenses in a timely manner, adhering to coding requirements.
- Perform additional duties as assigned.
Minimum Qualifications:
- High school diploma required, along with 12 months of relevant work experience.
- Post-secondary education is encouraged and preferred.
- Intermediate proficiency in Microsoft 365 applications and communication tools is necessary.
- Experience in mailroom operations, reception, hospitality, and print production is preferred.
