Vaco is in search of a meticulous and committed Lead Procurement Assistant to manage and streamline the functions of a purchasing team. The Lead Procurement Assistant will play a crucial role in overseeing procurement activities, ensuring the timely and cost-efficient acquisition of goods and services, while fostering robust relationships with vendors. This position demands exceptional organizational capabilities, strong analytical skills, and proven leadership experience.

Key Responsibilities:
  • Team Leadership:
    • Guide, mentor, and support the purchasing assistants.
    • Assign tasks and ensure effective workflow within the team.
    • Conduct regular performance evaluations and provide constructive feedback to team members.
  • Procurement Oversight:
    • Manage the procurement of materials, equipment, and services in accordance with company policies and budgetary constraints.
    • Identify and negotiate with suppliers to obtain optimal terms and pricing.
    • Maintain and organize procurement documentation, including purchase orders, contracts, and supplier agreements.
  • Supplier Relations:
    • Establish and nurture strong relationships with suppliers and vendors.
    • Assess supplier performance and resolve any issues or discrepancies.
    • Collaborate with suppliers to guarantee timely delivery of products and services.
  • Inventory Management:
    • Monitor stock levels and coordinate with warehouse personnel to ensure optimal inventory.
    • Conduct regular inventory checks and reconcile any discrepancies.
    • Implement strategies to minimize excess inventory and avoid stock shortages.
  • Reporting and Data Analysis:
    • Prepare and present procurement reports to senior management.
    • Analyze purchasing data to uncover trends and identify cost-saving opportunities.
    • Develop and track procurement KPIs and metrics.
  • Process Enhancement:
    • Identify opportunities to refine and enhance procurement processes.
    • Adopt best practices and innovative technologies to improve efficiency and accuracy.
    • Establish and maintain procurement policies and procedures.
Requirements:
  • Experience: At least 2 years of experience in procurement.
  • Technical Skills: Proficiency in procurement software and Microsoft Office Suite, especially Excel.
  • Knowledge: Comprehensive understanding of procurement practices, supply chain management, and inventory oversight.
  • Skills:
    • Strong analytical and problem-solving capabilities.
    • Excellent organizational and time management skills.
    • Outstanding communication skills, both verbal and written.
    • Ability to manage sensitive and confidential information with care.
    • Meticulous attention to detail and accuracy.
