Position Summary:
- We are in search of a detail-oriented and proactive Administrative Assistant with a minimum of 5 years of experience. This role is essential in ensuring our operations function smoothly, providing support to both executives and project managers as we continue to deliver impactful projects across Los Angeles County.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative assistance to executives and project teams, including scheduling, calendar management, and correspondence handling.
- Office Management: Oversee office supply inventory, coordinate procurement activities, and ensure efficient daily office operations.
- Document Preparation: Create, edit, and format professional documents and presentations using Microsoft Office Suite (Excel, Word, PowerPoint).
- Data Entry and Record Keeping: Accurately manage and update data, maintaining comprehensive records and databases.
- Communication: Serve as a primary contact for internal and external communications, responding to inquiries professionally and promptly.
- Multi-Tasking: Manage multiple tasks and priorities in a fast-paced environment, meeting deadlines with precision.
Qualifications:
- Experience: At least 5 years of experience in an administrative assistant role, preferably supporting senior executives in a technical or project management setting.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint). Comfortable adapting to new technology and software.
- Typing Speed: Minimum of 40 words per minute with high accuracy.
- Interpersonal Skills: Strong organizational and communication skills, with a collaborative and independent work approach.
