Position Overview: We are in search of a highly organized and experienced Executive Assistant to provide support to the CEO and Board of Directors. The ideal candidate will possess extensive experience in assisting senior executives and demonstrate exceptional multitasking and prioritization abilities in a dynamic environment. Key responsibilities encompass taking comprehensive notes and minutes, preparing presentations, managing digital applications, and utilizing document management tools like DocuSign.

Core Responsibilities:

  • Deliver high-level administrative assistance to the CEO and Board members.
  • Oversee and maintain the schedules of executives, including appointments, meetings, and travel logistics.
  • Coordinate board and executive meetings, preparing agendas and drafting minutes.
  • Organize offsite meetings and special events.
  • Act as the primary liaison between the CEO, Board, and internal/external stakeholders.
  • Prepare and refine presentations, reports, and other documents for executive discussions.
  • Utilize document management tools for effective document handling and approvals.
  • Assist in the management and coordination of special projects and initiatives led by the CEO and Board.
  • Maintain confidential files and records, ensuring data security and accessibility.
  • Coordinate complex travel arrangements and logistics for events and conferences.
  • Foster and maintain strong relationships with key stakeholders, clients, and partners.

Essential Qualifications:

Qualified candidates should possess a high school diploma or equivalent certification. A minimum of ten (10) years of experience providing administrative support to executive leadership is required, with at least five years of experience in project management, report writing, and presentation preparation.

  • Strong capabilities in note-taking and minute preparation.
  • Proficiency in presentation software and digital applications.
  • Experience with document management tools such as DocuSign.
  • Exceptional organizational and multitasking skills.
  • Ability to effectively anticipate and address the needs of executives.
