Position Overview: We are looking for a highly organized and experienced Executive Assistant to provide comprehensive support to the CEO and Board of Directors. The ideal candidate will have significant experience in supporting senior executives and will thrive in a dynamic setting, demonstrating exceptional multitasking and prioritization abilities. Key responsibilities include taking meticulous notes and minutes, preparing presentations, managing web applications, and utilizing document management tools like DocuSign.

Key Responsibilities:

  • Deliver high-level administrative assistance to the CEO and Board members.
  • Oversee and maintain the schedules of executives, including appointments, meetings, and travel logistics.
  • Coordinate board and executive meetings, including agenda preparation and minute-taking.
  • Organize offsite meetings and events.
  • Act as the primary liaison between the CEO, Board, and both internal and external stakeholders.
  • Prepare and refine presentations, reports, and documents for executive meetings.
  • Utilize tools such as DocuSign for effective document management and approvals.
  • Assist in the management and coordination of special projects and initiatives led by the CEO and Board.
  • Maintain confidential files and records, ensuring data security and accessibility.
  • Coordinate complex travel arrangements and logistics for events and conferences.
  • Build and sustain strong relationships with key stakeholders, clients, and partners.

Essential Qualifications:

Qualified candidates will possess a high school diploma or equivalent certification, along with a minimum of ten (10) years of experience providing administrative support to executive leadership. A minimum of five years of experience in project management, report writing, and presentation preparation is required.

  • Strong skills in note-taking and minute preparation.
  • Proficiency in presentation software and web applications.
  • Experience with document management tools such as DocuSign.
  • Excellent organizational and multitasking skills.
  • Ability to anticipate and effectively address the needs of executives.
