Position Overview: We are looking for a highly organized and experienced Executive Assistant to provide support to the CEO and Board of Directors. The ideal candidate will have a proven track record of assisting senior executives and will thrive in a dynamic setting, demonstrating exceptional multitasking and prioritization skills. Key duties include taking comprehensive notes and minutes, preparing presentations, managing web applications, and utilizing document management tools.

Key Responsibilities:

  • Deliver high-level administrative assistance to the CEO and Board members.
  • Oversee and maintain the schedules of executives, including appointments, meetings, and travel logistics.
  • Coordinate board and executive meetings, preparing agendas and drafting minutes.
  • Organize offsite meetings and events.
  • Act as the primary liaison between the CEO, Board, and internal/external stakeholders.
  • Prepare and refine presentations, reports, and other documents for executive meetings.
  • Utilize document management tools for efficient handling of approvals and documentation.
  • Assist in managing special projects and initiatives led by the CEO and Board.
  • Maintain confidential files and records, ensuring data security and accessibility.
  • Coordinate complex travel arrangements and logistics for events and conferences.
  • Foster and maintain strong relationships with key stakeholders, clients, and partners.

Essential Qualifications:

Qualified candidates will possess a high school diploma or equivalent certification, along with ten (10) or more years of experience providing administrative support to executive leadership. A minimum of five years of experience in project management, report writing, and presentation preparation is required.

  • Strong capabilities in note-taking and minute preparation.
  • Proficiency in presentation software and web applications.
  • Experience with document management tools.
  • Excellent organizational and multitasking skills.
  • Ability to anticipate and effectively address the needs of executives.
