Job Overview

Position Title: Loan Administration Officer

Department: Commercial Banking Division

Reporting To: Senior Vice President & Head of Commercial Banking

Objective:

The primary focus of this role is to meticulously document the Bank's loan assets utilizing LaserPro software, ensuring adherence to all stipulated terms and conditions prior to the finalization of loans.

Key Responsibilities:

  1. Examine preliminary title reports, organizational documents, and escrow instructions; prepare loan documentation in collaboration with the Bank's legal counsel, ensuring precision and compliance with approval conditions, legal standards, and Bank policies.
  2. Facilitate coordination with title and escrow firms for the funding and recording of documents to guarantee prompt loan closures.
  3. Work alongside the Note Department for the onboarding of new loans, including renewals, extensions, and modifications; ensure collection of all requisite fees and charges.
  4. Verify the Bank's lien position upon receipt of the title policy against the property profile report.
  5. Gather all necessary documentation related to the construction aspects of new loans prior to closing, including but not limited to construction contracts, architectural agreements, budgets, and other policy-required documents.
  6. Manage audit confirmation requests from borrowers and accounting firms of loan participants.
  7. Submit invoices for borrower-incurred expenses during the loan underwriting phase to the Accounting Department for payment processing. Maintain records of fees prepaid by borrowers and prepare monthly certifications of general ledger accounts assigned to the Credit Department.
  8. Conduct thorough reviews of all third-party reports associated with each transaction type.
  9. Provide support to business officers and managers as needed.
  10. Compile monthly, quarterly, and annual reports as required by the Head Office or as directed by management.
  11. Ensure accuracy of data entry across various banking systems.
  12. Perform additional duties and responsibilities as assigned.

Required Competencies:

1. Language Proficiency: Ability to read and interpret documents such as operational manuals; capable of writing routine reports and correspondence; effective communication skills with organizational staff.

2. Technical Skills: Proficiency in LaserPro software, database management, internet applications, and spreadsheet tools.

3. Organizational Skills: Strong organizational capabilities and exceptional proofreading skills.

4. Judgment: Ability to exercise independent judgment and perform high-level tasks.

5. Analytical Skills: Ability to synthesize complex information, collect and research data, and apply intuition and experience to enhance data interpretation.

6. Problem-Solving: Skillful in gathering and analyzing information and developing alternative solutions.

7. Interpersonal Skills: Ability to maintain confidentiality.

8. Oral Communication: Clear and persuasive speaking skills in various situations; ability to listen and seek clarification.
