Position Overview
As a vital member of our team, the Executive Assistant provides high-level administrative support to the Executive Team, ensuring seamless operations and effective time management.

Work Schedule
Monday to Friday, Day Shift

Key Responsibilities

  • Manage calendars and schedule appointments, collaborating with leaders to optimize their time.
  • Organize meetings, retreats, and events, including logistics such as venue selection, catering, and agenda preparation.
  • Maintain accurate payroll reports reflecting staff attendance, including sick leave and vacation.
  • Review and approve expense reports as directed by leadership.
  • Participate in special projects and represent the department in various committees.
  • Screen and manage incoming calls, fostering relationships with vendors and internal stakeholders.
  • Prepare and distribute minutes and agendas for departmental and committee meetings in a timely manner.
  • Process invoices for payment and reconcile monthly financial transactions.
  • Provide backup support to fellow Executive Assistants as needed.
  • Handle correspondence, including mail and emails, as required.
  • Maintain organized records of staff schedules, including vacations and celebrations.
  • Ensure an efficient electronic and paper filing system is in place.
  • Facilitate communication between leaders and project managers to ensure alignment on activities.
  • Support Project Consultants and Managers in fulfilling the needs of leadership.
  • Collaborate with other Executive Assistants to enhance the effectiveness of leadership support.
Qualifications
  • Minimum of 7 years of administrative experience supporting C-level executives.
  • Preferred: Bachelor's degree in Business, Healthcare, or a related field.
  • High school diploma or equivalent required.
Skills and Competencies
  • Exceptional verbal and written communication skills.
  • Strong organizational and customer service abilities.
  • Proficient in Microsoft Office and other relevant software applications.
  • Experience in coordinating multi-stakeholder meetings and preparing professional presentations.
