Job Overview

We are currently seeking a Senior Administrative Coordinator to provide essential support within a prestigious legal firm.

The Senior Administrative Coordinator will play a pivotal role in assisting a key partner by managing schedules, handling sensitive information, and facilitating effective communication among the partner, clients, and internal teams.

The ideal candidate thrives in a dynamic environment, adeptly managing urgent tasks, engaging with clients and high-profile individuals, and demonstrating exceptional organizational skills while maintaining confidentiality.

Key Responsibilities:

  • Oversee and facilitate all forms of communication including phone, email, and postal correspondence.
  • Organize the partner's calendar: scheduling meetings, appointments, travel, deadlines, and client interactions.
  • Review documents for accuracy in formatting, grammar, punctuation, and spelling.
  • Prepare and manage outgoing correspondence; coordinate specialized mail or courier services.
  • Act as a liaison between the partner, firm staff, and external contacts.
  • Handle expense reimbursement and disbursement requests.
  • Coordinate travel logistics: creating itineraries, agendas, travel expense reports, and booking transportation and accommodations.
  • Process timesheets and provide backup support for document-related tasks.
  • Collaborate with the partner's legal assistant to align on tasks and project discussions.
  • Manage event and sponsorship tickets and invitations, confirming guest attendance.
  • Assist in organizing events: sending invitations, tracking responses, making reservations, and managing food and beverage requests.
  • Maintain the partner's correspondence folder and follow up on tasks to ensure deadlines are met.
  • Support other team members as workload allows.
  • Complete projects and special assignments by prioritizing tasks, managing time effectively, monitoring progress, and adjusting plans as necessary.

Qualifications:

  • A minimum of 3 years of experience in an administrative or executive support role.
  • High school diploma required; Bachelor's degree preferred.
  • Strong organizational and clerical skills with a solid understanding of grammar, spelling, and punctuation.
  • Outstanding customer service abilities in person, over the phone, and via email.
  • Exceptional attention to detail with the capability to work independently and proactively.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Highly skilled in utilizing technology across various devices, platforms, and software.

Compensation & Benefits:

  • Salary range: $80,000 - $90,000 (Negotiable based on experience).
  • On-site work schedule: Monday – Friday, 8:00 AM – 5:00 PM.
