Executive Administrative Coordinator

Role Summary:
The selected candidate will provide comprehensive and varied administrative assistance to the leadership and personnel of a designated functional unit within the project. Reporting directly to the Project Manager, this role is pivotal in ensuring smooth operations.
Key Responsibilities:
- Oversee the daily functions of the assigned project’s functional unit.
- Organize agendas, document, and disseminate minutes from meetings, committees, and commissions.
- Execute intricate and specialized administrative tasks for site leadership or functional unit personnel, including drafting and formatting correspondence, reports, and memoranda. Develop computer forms, templates, and tables, and compile statistical information.
- Assess and propose improvements to existing operational procedures.
- Establish and manage sophisticated electronic and physical filing systems.
- Prepare and coordinate a variety of detailed financial and operational reports.
- Facilitate the collection and presentation of budgetary information.
- Interpret established policies and provide guidance for problem resolution.
- May represent their supervisor in meetings.
Essential Qualifications:
- High School diploma or equivalent qualification.
- A minimum of three (3) years of experience in administrative or secretarial roles.
- Exceptional oral and written communication skills.
- Experience in administration for large-scale industrial engineering and construction projects.
- Self-motivated, quick to learn, highly efficient, and possess strong business ethics.
- Proficient in standard Microsoft Office applications.
- Ability to operate general office equipment, including personal computers, fax machines, and photocopiers.
