Position Overview

Role: Executive Assistant/Administrative Manager

We are seeking a dedicated Executive Assistant/Administrative Manager for a prominent financial institution.

Key Responsibilities:

  • Oversee the schedules, appointments, expense documentation, and travel logistics for executives.
  • Manage projects delegated by senior executives.
  • Assist in the preparation, editing, and organization of documents.
  • Provide effective solutions to administrative challenges.
  • Act as the liaison between executives and both internal and external stakeholders.
  • Serve as the primary contact for building management, addressing concerns related to office facilities.
  • Ensure that subtenants receive appropriate support and verify adherence to agreements to foster positive relationships.
  • Coordinate and plan executive meetings and events as required.
  • Prepare and refine reports and presentations.
  • Organize and prioritize tasks for executives to enhance productivity.
  • Supervise administrative personnel.
  • Conduct research and compile data to aid in decision-making processes.
  • Implement and uphold office policies and procedures.
  • Streamline office operations to optimize workflow.
  • Manage facilities to ensure a productive work environment.
  • Effectively monitor and manage budgetary considerations.
  • Engage with vendors, subtenants, suppliers, and service providers.
  • Serve as a resource for employees regarding facility-related inquiries.
  • Maintain confidentiality and handle sensitive information with the utmost discretion.
  • Collaborate with various departments to ensure smooth cross-functional operations.

Qualifications:

  • Experience supporting C-level executives.
  • Bilingual proficiency in English and Portuguese.


This position is based on-site.
