The successful candidate will provide exceptional administrative support to a team of lawyers and professionals, ensuring seamless and efficient operations.

Key Responsibilities:
  • Prepare and manage high-quality documents, spreadsheets, and presentations using Microsoft Office Suite.
  • Draft routine correspondence, forms, and other documents under the supervision of a lawyer or professional.
  • Provide exceptional customer service, answering phone calls and responding to inquiries from clients and staff members.
  • Coordinate travel arrangements, including flights, hotels, and car rentals, and manage logistics related to domestic and foreign travel.
  • Process reimbursements, invoices, and check requests, and ensure accurate tracking and organization of financial transactions.
  • Run conflict checks, open new client matters, and draft engagement letters and other required documents.
  • Assist lawyers with the review and revision of pre-bills and invoices, and work collaboratively with the accounting department to generate invoices for clients in a timely manner.
  • Enter and manage work requests from lawyers in the workflow tool, and complete tasks according to provided deadlines.
  • Perform filing, photocopying, scanning, compiling, and distributing of documents, and identify and coordinate available services provided by administrative departments.
  • Operate independently to ensure accurate and timely completion of complex assignments, and produce a high volume of work assignments in an accurate and timely manner.
  • Take a proactive interest in the coordination of technical and logistical requirements of lawyer's legal practice, including informing lawyers of potential schedule conflicts and working with firm personnel to coordinate events or meetings.
Qualifications:
  • 4-5 years of experience supporting lawyers and paralegals with administrative or client-related tasks.
  • Advanced knowledge of Microsoft Office Suite.
  • Experience with iManage document management system.
  • Proficiency in all core legal administrative assistant functions and advanced technical and communications skills.
  • Ability to work in a fast-paced environment, coordinate multiple competing tasks and demands, and demonstrate superb attention to detail, grammar, and punctuation.
  • Bilingual in English and Spanish required.
