Position Summary

REEF is looking for a detail-oriented and proactive Office Management Specialist to manage the daily operations of our headquarters. This role is essential for maintaining an efficient office environment and providing vital support to our executive team. The ideal candidate will possess strong organizational skills, be self-motivated, and adept at juggling multiple responsibilities in a fast-paced setting. This position requires full-time, on-site presence.

Key Responsibilities:

  • Assist C-suite executives with travel arrangements, including flight bookings, accommodations, and transportation, ensuring alignment with their preferences.
  • Oversee the daily operations of the headquarters, maintaining a clean, organized, and efficient workspace.
  • Act as the main point of contact for office-related inquiries, including maintenance, supplies, and vendor relations.
  • Plan and coordinate company events, meetings, and activities, ensuring all logistical details are managed effectively.
  • Manage office budgets, tracking expenses and ensuring cost-effective operations.
  • Support the onboarding process for new hires, providing necessary resources and assistance.
  • Maintain office equipment and technology, coordinating with IT support as needed.
  • Facilitate communication and collaboration between the headquarters and other REEF locations.
  • Identify opportunities for process improvements to enhance office efficiency and productivity.

Qualifications:

  • Demonstrated experience as an Executive Assistant, Office Manager, or in a comparable role.
  • Exceptional organizational and multitasking abilities, with a talent for prioritizing tasks.
  • Strong communication and interpersonal skills, capable of engaging with individuals at all organizational levels.
  • Ability to work autonomously and collaboratively, with a proactive and positive demeanor.
  • Maintain confidentiality and professionalism in all interactions with stakeholders.
  • Trustworthiness in handling sensitive information.
  • Familiarity with financial management and budgeting.
  • Experience in event planning and coordination is advantageous.
  • A Bachelor’s degree in Business Administration or a related field is preferred.
