Position Overview:

The selected candidate will deliver comprehensive and varied administrative assistance to the leadership and personnel of a designated unit within the project framework. Reporting directly to the Project Manager, this role is pivotal in ensuring smooth operational flow.

Core Duties:
  • Oversee the daily functions of the designated unit within the project.
  • Organize agendas, document, and disseminate minutes from committees, commissions, and meetings.
  • Execute complex and specialized administrative tasks for site leadership or unit staff, including drafting and typing memoranda, letters, and reports. Develop computer forms, templates, and tables while compiling statistical information.
  • Evaluate and propose new or improved operational procedures.
  • Establish and manage intricate electronic and physical filing systems.
  • Prepare and coordinate a variety of detailed financial and operational reports.
  • Facilitate the collection and presentation of budgetary information.
  • Interpret established policies and provide insights for problem resolution.
  • May represent their supervisor in meetings.
Required Skills and Qualifications

Essential Qualifications:
  • High School diploma or equivalent
  • A minimum of three (3) years of experience in administrative or secretarial roles
  • Excellent oral and written communication and documentation abilities
  • Experience in managing administrative tasks for heavy industrial engineering and construction projects
  • Self-motivated, quick learner, highly efficient, and possess strong business ethics
  • Proficient in standard Microsoft Office applications
  • Able to operate general office equipment, including personal computers, facsimile machines, and photocopiers
