Service Coordination Representative

We are currently in search of a Customer Service Representative to join our team. This role is essential in providing administrative and operational support within the designated department.
Key Responsibilities:
- Manage incoming calls, ensuring they are answered and directed appropriately.
- Welcome visitors and assess their needs, directing them to the correct personnel.
- Maintain the cleanliness and organization of shared spaces.
- Oversee the accurate and timely processing of payroll for designated branches.
- Input payroll-related information into the system to meet deadlines.
- Sort and distribute daily mail.
- Coordinate courier services as required.
- Assist with bulk mailing tasks as needed.
- Draft and prepare correspondence as requested by management.
- Monitor and manage office supply inventory and special orders.
- Request Insurance Certificates as necessary.
- Facilitate customer invoice approvals as needed.
- Process payments and manage deposits.
- Maintain an organized electronic filing system.
- Assist in coordinating special events as required.
- Perform additional duties as assigned.
Qualifications:
- High school diploma or equivalent.
- At least one year of experience in a receptionist or administrative role.
- Professional demeanor with a friendly and approachable attitude.
- Strong interpersonal and communication skills with a focus on customer service.
- Proficient in Microsoft Word and Excel.
- Familiarity with PowerPoint.
- Typing speed of at least 45 words per minute.
- Demonstrated organizational skills and ability to manage multiple tasks.
- Self-motivated with a proactive approach to improving processes.
- Strong analytical and problem-solving abilities.
- Attention to detail and accuracy in all tasks.
- Ability to work effectively with diverse groups.
- Customer-focused with a talent for building collaborative relationships.
