POSITION SUMMARY: Under the guidance of the Director of Special Education, this role is responsible for maintaining legal special education documentation, including IEPs and Psychological Evaluation Reports. The position offers high-level administrative, operational, and strategic management support to the Special Education and Speech Pathologist Director. This role requires acting on behalf of the executive, managing communication, scheduling, coordination, and special projects that contribute to the organization's success.
KEY RESPONSIBILITIES:
- Participate as a member of the GPS Educational Services Executive Team, providing essential administrative support to the Special Education and Speech Pathologist Directors.
- Serve as a professional representative of the organization, engaging with leadership, external clients, and vendors through various communication channels. Prepare responses to inquiries while handling sensitive information with discretion and professionalism.
- Assist the CEO in preparing for meetings, including creating presentations, drafting agendas, and organizing meeting materials. Track deliverables and follow up on pending items.
- Support the development of project plans and effectively communicate timelines and expectations.
- Conduct independent research and compile relevant data for meetings and reports. Draft memos and business communications as necessary.
- Manage the administrator's calendar and appointments efficiently.
- Assess urgent situations and make informed decisions when interacting with clients and staff.
- Ensure compliance with federal and state regulations related to Special Education.
- Maintain accurate records within the Special Education database system.
- Organize and manage confidential files pertaining to all special education students.
- Collaborate closely with Special Education Department Heads and maintain effective communication with district personnel and external agencies.
- Act as a liaison for various stakeholders in the absence of the administrator/director.
- Oversee the process of receiving and preparing special education records for incoming students.
- Monitor the distribution of student progress reports to parents.
- Compile reports, memos, and meeting notes for district and site levels.
- Manage requests for special education evaluations and coordinate with Psychologists.
- Maintain relationships with special education staff and schools, ensuring effective communication.
- Track requests for special education evaluations and maintain billing records in collaboration with the Billing & Collections Specialist.
- Manage Special Education Assets, including testing materials, and notify staff when supplies are needed.
EDUCATION AND EXPERIENCE:
- A Bachelor's degree or equivalent experience is required.
- A minimum of five years supporting a senior executive is essential.
- Experience in managing complex administrative tasks in a dynamic environment is necessary.
SKILLS AND QUALIFICATIONS:
- Strong understanding of administrative principles and procedures.
- Proficient in customer service, with a focus on meeting client needs.
- Excellent communication skills, both written and verbal, with a strong command of English grammar.
- Ability to build and maintain effective relationships with diverse stakeholders.
- Strong organizational skills and the ability to manage multiple priorities effectively.
- Proficient in technology, including MS Office applications, with a willingness to learn new software.
