Senior Administrative Coordinator

As a key member of the Facilities Services team, the Senior Administrative Coordinator will provide essential support to the Chief Administrative Officer (CAO). This role is vital in ensuring the smooth operation of administrative functions within the department.
Core Responsibilities
1. **Confidential Administrative Support**: Offer executive-level secretarial assistance to the CAO, managing travel arrangements, scheduling meetings, and maintaining the CAO's calendar.
2. **Documentation Management**: Draft and prepare reports, correspondence, and various documents as required, ensuring clarity and professionalism.
3. **Record Keeping**: Maintain confidential employee records and oversee the initiation of necessary personnel documents.
4. **Performance Monitoring**: Track staff performance evaluations and notify supervisors of upcoming deadlines.
5. **Orientation Development**: Create and update orientation materials for new hires to facilitate their onboarding process.
6. **Website Management**: Ensure the department's website is current and accurately reflects all units within Facilities Services.
7. **Liaison Role**: Act as a bridge between the CAO and other staff, managing communications and facilitating information flow.
8. **Policy Compliance**: Assist in the development and implementation of administrative policies, ensuring adherence to established guidelines.
9. **Committee Support**: Provide administrative assistance to CAO-led committees, maintaining records and disseminating information as needed.
10. **Purchasing Coordination**: Manage purchasing transactions and liaise with Business Services to ensure efficient procurement processes.
Qualifications
- A minimum of two years of experience in a secretarial or administrative role.
- Familiarity with higher education environments is preferred.
- Experience in facility maintenance operations is advantageous.
Skills and Competencies
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office and web editing tools.
- Ability to maintain confidentiality and handle sensitive information with discretion.
