Office Administrator:

About Us:
Metasys Technologies, Inc. is in search of a meticulous and organized Office Administrator to enhance our team.

This position will facilitate our office functions and guarantee the seamless operation of daily tasks, encompassing data handling, administrative responsibilities, and office management.


Key Responsibilities:

Data Handling:
Input data from diverse sources into Salesforce and other digital systems.
Revise existing data and confirm its precision by cross-referencing with source documents.
Extract data from databases or electronic files upon request.
Conduct regular backups to ensure data integrity.

Office Management:
Uphold confidentiality of sensitive information and manage highly confidential documents with care.
Oversee phone communications and correspondence (emails, letters, packages).
Provide comprehensive administrative assistance including filing, scanning, photocopying, and scheduling.
Organize and manage office supplies while maintaining records of company assets, equipment, and inventory.
Update and manage databases with a high degree of accuracy.
Support daily facilities operations and oversee facility software applications.

Project Coordination and Assistance:
Assist with office relocation tasks, such as packing items and moving supplies.
Aid in the planning and execution of company meetings and events, including setup and teardown.
Collaborate with facilities and other departments on office relocation and setup procedures.
Play a vital role in coordinating vendor services for facility management.

Reporting and Documentation:
Submit timely reports and prepare project updates as required.
Maintain a record of all company equipment, software, furniture, and fixtures, including depreciation schedules and asset removal.

Customer and Team Support:
Provide customer assistance via phone, email, or in-person interactions.
Support colleagues as needed and contribute to a positive office atmosphere.

Qualifications:
Demonstrated experience in office administration or a related field.
Proficiency in Salesforce and other data management systems.
Strong attention to detail and a high level of accuracy in data entry.
Excellent organizational and time-management abilities.
Capacity to handle sensitive and confidential information with care.
Strong communication skills and the ability to manage correspondence effectively.
Experience with facilities management and office supply coordination is advantageous.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Education:
High school diploma or equivalent; Associate's or Bachelor's degree in Business Administration or a related field preferred.
