About Us:
Metasys Technologies, Inc. is in search of a meticulous and organized Office Administrator to enhance our team.

This position is pivotal in supporting our office functions and ensuring the seamless execution of daily operations, which includes data oversight, administrative duties, and office management.


Key Responsibilities:

Data Oversight:
Input data from diverse sources into Salesforce and other digital systems.
Revise existing data and confirm its accuracy by cross-referencing with source documents.
Extract data from databases or electronic files as needed.
Conduct regular backups to safeguard data integrity.

Office Management:
Uphold confidentiality of sensitive information and manage highly confidential documents with care.
Handle phone communications and correspondence (emails, letters, packages).
Provide comprehensive administrative support including filing, scanning, photocopying, and scheduling meetings.
Organize and oversee office supplies while maintaining records of company assets, equipment, and inventory.
Update and manage databases with a high degree of accuracy.
Assist in daily facilities operations and oversee facility software applications.

Project Coordination and Support:
Assist with office relocation activities, such as packing items and moving office supplies.
Contribute to the planning and execution of company meetings and events, including setup and cleanup.
Collaborate with facilities and other departments on office relocation and setup procedures.
Play a vital role in coordinating vendor services for facility management.

Reporting and Presentations:
Provide timely reports and prepare project updates as required.
Maintain a record of all company equipment, software, furniture, and fixtures, including depreciation schedules and asset disposal.

Customer and Colleague Support:
Deliver customer support through phone, email, or in-person interactions.
Assist colleagues as needed and foster a positive office atmosphere.

Qualifications:
Demonstrated experience in office administration or a related field.
Proficiency in Salesforce and other data management systems.
Exceptional attention to detail and a high level of accuracy in data entry.
Strong organizational and time-management capabilities.
Ability to manage sensitive and confidential information with discretion.
Excellent communication skills and effective management of correspondence.
Experience in facilities management and office supply coordination is advantageous.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Education:
High school diploma or equivalent; Associate's or Bachelor's degree in Business Administration or a related field preferred.
