Position Summary

InfiCare Technologies is in search of a meticulous and highly organized Office Administrator to enhance our operational efficiency. This pivotal role will facilitate our office functions and guarantee the seamless execution of daily tasks, which encompass data oversight, administrative responsibilities, and office management.

Key Responsibilities
  1. Data Oversight:
    • Input data from diverse sources into Salesforce and other digital platforms.
    • Review and update existing data, ensuring accuracy through comparison with source documents.
    • Access data from databases or electronic files upon request.
    • Conduct regular backups to safeguard data integrity.
  2. Administrative Support:
    • Uphold confidentiality of sensitive information and manage confidential documents with care.
    • Handle phone communications and correspondence (emails, letters, packages).
    • Provide comprehensive administrative assistance, including filing, scanning, photocopying, and scheduling.
    • Oversee office supplies and maintain records of company assets, equipment, and inventory.
    • Ensure databases are updated with precision.
    • Assist in daily facilities operations and manage facility-related software.
  3. Project Coordination:
    • Support office relocation activities, including packing items and moving supplies.
    • Assist in organizing company meetings and events, including setup and teardown.
    • Collaborate with facilities and other departments on office opening and closing procedures.
    • Play a crucial role in coordinating vendor services for facility management.
  4. Reporting and Documentation:
    • Provide timely reports and prepare project updates as required.
    • Maintain records of all company equipment, software, furniture, and fixtures, including depreciation schedules.
  5. Support for Customers and Colleagues:
    • Deliver customer support through phone, email, or in-person interactions.
    • Assist colleagues as needed and contribute to a positive workplace atmosphere.
Qualifications
  • Demonstrated experience in office administration or a related domain.
  • Proficient in Salesforce and other data management systems.
  • Exceptional attention to detail and a high level of accuracy in data entry.
  • Strong organizational and time-management capabilities.
  • Ability to manage sensitive and confidential information with discretion.
  • Excellent communication skills and effective management of correspondence.
  • Experience in facilities management and office supply coordination is advantageous.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Education
  • High school diploma or equivalent; an Associate's or Bachelor's degree in Business Administration or a related field is preferred.
