CUMULUS MEDIA | SAN FRANCISCO is seeking a dedicated full-time Sales/Administrative Assistant to join our dynamic 6-station cluster. This role is crucial in supporting our radio advertising sales and administrative teams, ensuring smooth operations for both sales representatives and management. The ideal candidate will be reliable, diligent, and capable of managing multiple projects with tight deadlines while maintaining a positive attitude in a fast-paced environment.

Key Responsibilities:
  • Serve as a key liaison between our sales team, clients, and other internal departments while managing administrative duties for the office.
  • Organize and enter both new and updated orders; assist in the creation of sales proposals and digital campaigns; provide customer support to resolve issues and enhance business growth.
  • Support Account Executives with order processing and traffic management as required.
  • Prepare and compile reports and presentations.
  • Conduct research using tools such as Tapscan, Media Monitors, and Scarborough.
  • Maintain up-to-date sales materials and media kits.
  • Act as a backup for Account Executives in entering traffic instructions into vCreative.
  • Answer phone calls, draft correspondence, and schedule appointments.
  • Maintain account lists, mailing lists, and employee directories.
  • Assist clients by providing necessary documents and forms to ensure seamless execution of media buys.
  • Collaborate with Traffic Managers to gather copy and traffic instructions, addressing clearance issues as they arise.
  • Manage multiple time-sensitive projects while adhering to deadlines.
  • Welcome clients, on-air guests, visitors, job applicants, and contest winners.
  • Screen and direct incoming calls to the appropriate personnel/department and relay messages accurately.
  • Receive and distribute incoming mail and deliveries, ensuring outgoing mail is properly stamped.
  • Provide information to listeners regarding commercials and news stories.
  • Oversee kitchen and office supply inventory.
  • Perform additional duties as assigned by the Sales Operations Manager, Sales Management, Market Manager, or Director of Finance related to sales or administrative functions.
Qualifications:
  • 1-3 years of experience in sales, marketing, advertising, or promotions is preferred.
  • Proficient in computer applications, particularly Microsoft Office Suite (Word, PowerPoint, Excel), with the ability to adapt to proprietary systems.
  • Experience in a radio station environment is advantageous.
  • Detail-oriented self-starter with strong organizational skills; excellent written and verbal communication abilities; adept at multitasking.
  • Dependable, with a strong work ethic and a collaborative team player mindset.
  • Able to make independent decisions and work autonomously without direct supervision.
  • Capable of interacting courteously and professionally with individuals at all levels.
