Position Summary

The Sales Support Specialist serves as the initial point of contact for guests engaging with the Sales Office. This role is integral in facilitating daily operations and administrative tasks for the Director of Sales and Marketing, as well as supporting the sales and catering teams.

  • Responds promptly to sales inquiries via phone.
  • Records messages, addresses customer requests, and promptly forwards leads to the Sales Lead Coordinator.
  • Handles daily office responsibilities such as filing, faxing, copying, and managing mail and amenity requests.
  • Ensures VIP reservations are accurately logged and coordinated.
  • Manages parking validations and maintains the log system.
  • Takes minutes during monthly sales meetings and distributes them accordingly.
  • Prepares and sends all correspondence for the Director of Sales and Marketing and other sales managers, ensuring accuracy.
  • Organizes and prioritizes the workload for the Director of Sales and Marketing.
  • Generates the Weekly Sales Activity Report and distributes the monthly forecast.
  • Maintains the Reference Library and relevant memberships.
  • Collaborates with IT to create necessary reports.
  • Fosters productive relationships with both internal and external clients, serving as a reliable point of contact.
  • Provides timely and accurate information to internal stakeholders while maintaining knowledge of hotel offerings.
  • Continuously reviews and enhances office management systems, ensuring supplies are adequately stocked.
  • Maintains awareness of upcoming groups and events within a rolling 10-day cycle.
  • Offers support during the absence of the Director of Sales and Marketing or other administrative staff.
  • Completes daily and weekly tasks as directed by the Director of Sales and Marketing.
  • Demonstrates initiative and responsibility in resolving issues.
  • Approaches tasks with diligence and determination, meeting deadlines.
  • Exhibits professionalism in all customer interactions.
  • Shows motivation and enthusiasm, actively seeking opportunities for skill enhancement.
  • Adapts quickly to changing requirements.
  • Promotes teamwork by supporting colleagues in achieving departmental goals.
  • Maintains an organized filing system for contracts and correspondence.
  • Schedules appointments for the Director of Sales and Marketing.
  • Provides computer support, including word processing and spreadsheet management.
  • Effectively manages the sales process, including site tours and inquiry calls.
  • Regularly checks emails and distributes potential sales leads.
  • Possesses knowledge of food and beverage operations.
  • Assists in organizing trade shows and preparing marketing materials.
  • Supports other Sales Assistants and Managers as required.
  • Prepares informational packets for meetings and handles mailing requests.
  • Ensures successful site inspections and client visits through meticulous planning and communication.

Qualifications

  • High school diploma or equivalent; college degree preferred.
  • Two years of experience in hospitality or sales-related fields.
  • Experience in luxury hotel environments is a plus.
