Objective: To deliver comprehensive administrative assistance to the sales team while ensuring the showroom operates efficiently. Additionally, provide administrative support to management in maintaining showroom aesthetics.
Key Responsibilities:
- Act as the primary contact for customers visiting or calling the showroom.
- Respond to customer inquiries and provide necessary follow-up.
- Address basic product-related questions.
- Coordinate order scheduling for deliveries.
- Manage sample orders and confirm dispatch, providing tracking details as needed.
- Assist in organizing and scheduling sales meetings and appointments.
- Handle all administrative duties for sales representatives, acting as their support.
- Provide freight quotes, stock availability, and resolve discrepancies while sales representatives engage with customers.
- Ensure the phone system operates according to the store's schedule, maintaining current routing options.
- Organize loose samples at the end of each business day.
- Maintain and reorder small sample inventory for the showroom as necessary.
- Ensure accurate labeling of all samples.
- Conduct regular inspections of displayed products to confirm their condition and functionality.
- Organize and maintain product tile libraries, replacing damaged items and discarding obsolete stock.
- Update promotional signage and product displays throughout the showroom.
- Restock catalogs and magazines at sales desks and display areas.
- Research and resolve billing, payment, shipment, product, and inventory issues as directed.
- Process price adjustments, returns, refunds, and credit transfers, collaborating with customer service to resolve damage issues.
Qualifications:
- Associate's or Bachelor's degree in Business Administration, Management, or a related field preferred.
- Proven experience in sales support administration or a similar role.
- Familiarity with sales industry software such as Salesforce and CRM systems.
- Understanding of sales contracts and agreements.
- Proficient in Microsoft Word and Excel.
- Strong written and verbal communication skills, along with excellent customer service abilities.
- Exceptional interpersonal skills and a proactive problem-solving approach.
- Availability to work weekends.
- Experience in tile, kitchen, and bath industries is beneficial but not mandatory.
