Key Responsibilities

The Sales Support Specialist serves as the initial point of contact for guests engaging with the Sales Office. This role is essential in facilitating daily operations and administrative tasks for the Director of Sales and Marketing, as well as the sales and catering teams.

  • Responds promptly to sales inquiries via phone.
  • Records messages, addresses customer requests, and forwards leads to the Sales Lead Coordinator without delay.
  • Handles routine office tasks such as filing, faxing, copying, and managing mail and amenity requests.
  • Ensures VIP reservations are accurately entered into the property management system.
  • Manages parking validations and maintains logs.
  • Takes notes and distributes minutes from monthly sales meetings.
  • Prepares and sends out correspondence for the Director of Sales and Marketing and other sales managers, ensuring accuracy.
  • Organizes and prioritizes the workload for the Director of Sales and Marketing.
  • Generates weekly sales activity reports and monthly forecasts.
  • Maintains a reference library and keeps track of industry memberships and trade show information.
  • Collaborates with IT to create necessary reports for the Director of Sales and Marketing.
  • Builds and nurtures productive relationships with both internal and external clients.
  • Provides timely and accurate information to internal contacts, maintaining knowledge of hotel offerings.
  • Regularly reviews office management systems and implements improvements as needed.
  • Assists in organizing tradeshows and preparing marketing materials.
  • Supports the Director of Sales and Marketing and other administrative staff as required.
  • Ensures successful site inspections and client visits through detailed planning and communication.

Qualifications

  • High school diploma or equivalent; college degree preferred.
  • Minimum of two years of experience in hospitality or a related sales field.
  • Experience in luxury hotel environments is a plus.

Skills Required

  • Energetic with strong interpersonal skills and a positive attitude.
  • Highly organized with a keen attention to detail.
  • Ability to manage multiple projects simultaneously.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to work effectively with diverse clientele and staff.
  • Fluency in English; additional languages are advantageous.

Physical Requirements

  • Ability to move throughout the venue for extended periods.
  • Capability to sit for long durations and perform repetitive movements.
  • Manual dexterity and coordination are essential.

Additional Considerations

  • Understanding of hotel operations is preferred.
  • A passion for music and familiarity with current music trends is a plus.
  • Willingness to work flexible hours, including evenings and weekends.
