The Center for Humanistic Change (CHC) located in Allentown PA is a 501-c-3 nonprofit organization whose mission is to give people, especially youth, the knowledge and tools they need to make better-informed and more positive life choices through the interactive delivery of prevention education and evidence-based programming. Drug and alcohol prevention programs, life skills training and student mentoring are core services. Our vital programs and services are provided in the schools, in the community, and in the workplace.

The Center for Humanistic Change (CHC) is hiring immediately for a professional, friendly and efficient staff member to take charge of the daily office operations. The Administrative Assistant is a full-time, hourly, non-exempt position working in the office from 8:30 a.m. to 4:30 p.m., Monday-Friday. This is not a remote work position. This position provides administrative support to the Executive Director and the Director of Administration, and supports the work of the program departments. The Assistant follows administrative processes to maintain our office systems and completes multi-level tasks in a professional, accurate and timely manner. This position requires an experienced individual who can be flexible and adjust to changing priorities with ease, is especially detail-oriented, can work with minimal supervision, can exercise good judgement, and has strong organization and multi-tasking skills. This is not an entry level position.

Candidates will strike a balance between having a team orientation and working well independently. This position has no direct reports but may occasionally coordinate and oversee the work of office volunteers. Experience or training using social media and website content management is desirable. Event planning experience is a plus. Experience in a human services field or other nonprofit sector is a plus. Such training and experience may have been gained from a college or university, or any equivalent combination of experience and education.

Responsibilities:

  • Answer phones; manage voice message system
  • Process mail; greet visitors
  • Order and maintain supplies; process expense requests
  • Maintain office equipment
  • Schedule appointments; coordinate calendars
  • Arrange food/beverage for meetings and seminars
  • Maintain the appearance of office
  • Create flyers and other print materials
  • Some event planning preparation and coordination
  • Schedule and update social media content
  • Update website content
  • Prepare correspondence and reports
  • Make travel arrangements
  • Occasional local errands

Qualifications:

  • Minimum of 4 years working in an office environment performing office duties.
  • Above-average proficiency using Microsoft Office suite (Outlook, Word, Excel, PowerPoint and Publisher)
  • Experience using MS Teams, Zoom, and Google Docs
  • Proven experience in office administration
  • Excellent written and verbal communication skills
  • Strong organizational and time management skills
  • Ability to multi-task and prioritize tasks effectively
  • Attention to detail and accuracy in work
  • Excellent customer service skills
  • Proactive attitude and good judgement
  • Basic operation and etiquette of instant messaging and video conferencing

CHC staff are expected to obtain and maintain all state and local training requirements and clearances, including PA Child Abuse history clearance, PA State Police background clearance, FBI background fingerprinting check and mandated child abuse reporter training. Clearances and criminal record checks must be in compliance and in accordance with the laws reflecting the ability to work in schools and with children.
