Administrative Assistant Needed in Allentown

Front Office Admin Job Details:
  • Schedule: Need to be available Monday-Friday starting at 7:00AM-4:30PM 
  • Pay Rate: $20.00-$22.00 Per Hour
     
Front Office Admin Job Description: 
  • Provides administrative support to ensure efficient office operations.
  • Maintains physical and digital filing systems.
  • Answers phone calls and directs callers to appropriate personnel, signs for incoming packages, and assists clients and other visitors.
  • Responds to emails and other digital queries and correspondence.
  • Drafts and edits letters, reports, and other documents.
  • Inputs and updates information in databases and spreadsheets.
  • Coordinates logistics for meetings, including room setup and catering.
  • Provide general assistance and office support for professional staff
  • Print event material as in name tags, name tents, certificates, course material
  • Manage DiSC reporting (assessment tracking)
  • Maintain training material inventories
  • Maintain and order event supplies
  • Maintain event evaluations
  • Assist with event logistics including room set up/clean up and managing catering venues
  • Take photos / small videos of onsite events
  • Proofread marketing materials
  • Assist with updating events on the company website
  • Greet customers, vendors

Front Office Admin Job Requirements:
  • 2 - 4 years events experience required. (Ideally looking for candidates who are well rounded with in person and virtual events experience, managing or coordinating all aspects of the event)
  • 2+ years of experience in Microsoft Office 365, particularly, Word, Excel, PowerPoint, and Planner.
  • Excellent computer skills with experience using Salesforce, internet and other business, training and design software including Adobe Acrobat and WordPress.
  • Excellent communication and interpersonal skills.
  • Excellent writing ability and organizational skills.
  • Excellent project management skills.
  • Proven ability to manage multiple tasks simultaneously.
  • Solid research, analytical and problem-solving skills.
  • Ability to engage and interact with customers, partners and vendors.
  • Self-directed and ability to plan, problem-solve and execute independently of direct day-to-day supervision while managing multiple complex projects as part of a team.
  • A demonstrated ability to coordinate and manage programs, events, and/or projects.
  • Ability to work overtime as needed or to work flexible hours to provide event support.
  • Ability to travel as necessary including current driver’s license. Limited overnight or weekend travel may be required.
  • Successful completion of standard background checks based upon the requirements of the position.
