About Us:

TraknProtect is a worldwide leader in real-time location technology solutions enabling hotels to harness the power of location data and integrate it into their safety & operations systems. TraknProtect provides employee safety devices (ESDs) for hotel employees through an integrated solution alerting security personal to the location of employees in need of assistance. The platform provides additional access to real-time location and data about hotel inventory, room service trays, and vendor activity on property. The TraknProtect software platform is also enabling hotels to enhance guest satisfaction, increase employee efficiency, and improve employee safety by using TraknProtect data analytics to save significant capital costs and make smarter inventory purchasing decisions and improved management of outside vendors.


Overview:

We are looking for an Administrative Assistant to join our team. In this position, you will assist the CEO by providing administrative support in all day-to-day needs. Your attention to detail will enable the company’s leaders to be more efficient by keeping them organized, prepared and on time. You’ll need to wear many hats and learn on your feet. You’ll have an opportunity to make an immediate impact on the way we serve our team and customers. You are the right fit for this position if you are incredibly organized, passionate, and proactive. To be successful in this role, you must be able to use MS Office tools, and able to work well under pressure, thrive in a fast-paced environment, and juggle lots of projects and deadlines at once. Your energy and passion about the TraknProtect team will play a crucial role in our company’s success.

 

Position Duties:

●         Manage CEO inbox and calendar

●         Assist in travel arrangements and attendance at events including flight bookings, accommodations, transportation and creating itineraries for business trips

●         Screen and prioritize phone calls, emails, and other communications on behalf of the executives

●         Create and edit documents, reports and presentations to support the executives in their work

●         Act as the initial point of contact for the CEO and respond to internal team members and external stakeholders promptly and professionally.

●         Create and implement a follow-up system on all outstanding scheduling and miscellaneous issues.

●         Assist with vendor management, order office supplies.

●         Play a role in fostering company culture. Assist in planning company events, create fun and innovative ways to bring the team together.


Desired Skills:

●         Minimum 2 years of administrative experience

●         Proficient in using Microsoft Office tools such as Microsoft Word, Excel to create and edit documents, spreadsheets and presentations. 

●         Strong interpersonal skills

●         Proven ability to thrive in a fast-paced environment and demonstrate ability to juggle multiple competing tasks, deadlines, personalities, long and short-term projects, etc.

●         Strong attention to detail

●         Excellent written and verbal communication skills to convey information professionally, promptly & accurately

●         Must be forward thinking and able to identify problems that may arise in the executive’s work and find effective solutions

●         Experience with various applications and CRM (HubSpot knowledge a plus)

●         You will be required to split time remotely and in our Chicago office as needed.
