Position Overview:

We are seeking a dedicated Administrative Assistant to provide comprehensive support to our executive leadership. In this role, you will play a crucial part in ensuring that the CEO remains organized and prepared for daily operations. Your meticulous attention to detail will enhance the efficiency of our leadership team, allowing them to focus on strategic initiatives. This position requires adaptability and a proactive mindset, as you will have the opportunity to influence our service delivery to both our team and clients positively. The ideal candidate will be exceptionally organized, enthusiastic, and capable of thriving in a dynamic environment. Proficiency in MS Office tools is essential, along with the ability to manage multiple projects and deadlines effectively.

Key Responsibilities:

● Oversee the CEO's email correspondence and calendar management

● Facilitate travel logistics, including flight arrangements, accommodations, and itinerary creation for business engagements

● Prioritize and manage incoming communications on behalf of the executives

● Develop and refine documents, reports, and presentations to assist executives in their responsibilities

● Serve as the primary contact for the CEO, responding to inquiries from internal teams and external partners in a timely and professional manner

● Establish and maintain a follow-up system for pending schedules and various tasks

● Support vendor relations and manage office supply orders

● Contribute to the enhancement of company culture by assisting in the organization of company events and fostering team cohesion.

Required Qualifications:

● At least 2 years of experience in an administrative role

● Proficient in Microsoft Office Suite, including Word and Excel, for document and spreadsheet management

● Strong interpersonal and communication skills

● Demonstrated ability to excel in a fast-paced environment while managing multiple priorities

● Exceptional attention to detail

● Excellent written and verbal communication skills for professional information dissemination

● Forward-thinking with the capability to identify potential challenges and propose effective solutions

● Familiarity with various software applications and CRM systems (HubSpot experience is a plus)

● Flexibility to work both remotely and in-office as required.
