Job Type: Full-time
Introduction: We are seeking a detail-oriented and proactive Marketing Administrative Assistant to join our dynamic marketing team. This role will primarily focus on supporting the marketing department with data report building from CRM trends and insights, proficiency in Outlook for communication and scheduling, adept use of project management tools such as Wrike, and experience in accurately recording meeting minutes.
Responsibilities:
- Data Report Building:
- Utilize CRM systems to extract, analyze, and interpret marketing data regularly.
- Create comprehensive reports and presentations based on CRM insights using report-building tools, such as Adobe Acrobat, Piktochart, etc.
- CRM Management:
- Maintain and update CRM databases with relevant marketing data.
- Monitor CRM data quality and integrity to ensure accuracy and reliability.
- Collaborate with marketing team members to streamline CRM processes.
- Outlook Proficiency:
- Manage and coordinate schedules, appointments, and travel arrangements using Outlook.
- Facilitate communication within the marketing team and with external stakeholders through Outlook.
- Project Management Tools:
- Utilize project management software such as Wrike to organize and prioritize marketing projects.
- Track project progress, deadlines, and deliverables.
- Assist in preparing project status reports and presentations.
- Meeting Minute Typing:
- Attend marketing meetings and accurately record minutes.
- Prepare and distribute meeting minutes in a timely manner.
- Follow up on action items and decisions made during meetings.
Requirements:
- Proven experience as an Administrative Assistant or similar role in a marketing environment.
- Strong proficiency in CRM systems (e.g., Salesforce, HubSpot) and extracting insights from marketing data.
- Advanced skills in Microsoft Outlook for scheduling and communication purposes.
- Experience using project management tools such as Wrike to manage tasks and projects efficiently.
- Excellent typing and note-taking skills, with the ability to capture meeting discussions accurately.
- Experience with facilitating meetings in virtual space (e.g. Zoom Webinars)
- Exceptional organizational and time management skills.
- Ability to work effectively both independently and as part of a team.
- Strong attention to detail and problem-solving abilities.
Preferred Qualifications:
- Certification in CRM management in Hubspot
- Previous experience in a data report building within a marketing setting.
