Job Summary

We are seeking a highly skilled and experienced Administrative Assistant to join our HR team at Volunteer Corporate Credit Union. As a key member of our team, you will provide administrative support to our HR department, ensuring the smooth operation of our day-to-day activities.

Key Responsibilities
  • Provide administrative support to the HR department, including preparing and assembling monthly Board and Supervisory Committee packages.
  • Assist with staff travel needs, including hotel reservations and meeting arrangements.
  • Track fleet vehicle service and maintenance appointments, and maintain service schedules and records.
  • Obtain proficiency in facility operations to serve as backup to the Supervisor regarding daily repairs and issues.
  • Manage the front desk and reception area, serving as the first point of contact with visitors, vendors, and deliveries.
  • Receive and prepare incoming and outgoing mail, including mass mailings, and assist staff with overnight packages and shipments.
  • Prepare correspondence, spreadsheets, and mass mailings to support ongoing business needs.
  • Coordinate staff meetings, including scheduling, hosting, recording, and attendance.
  • Assist with employee data recordkeeping, including processing and saving electronic documents to secure online folders.
  • Coordinate staff background checks and assist with the annual tuition reimbursement study.
Requirements
  • 5-10+ years of experience in a professional office setting with proven business experience and training required as an administrative assistant or executive secretary.
  • Advanced ability to interface with all levels of Management and Staff, as well as with visitors/members/regulators/auditors.
  • Strong written and verbal communication skills, including exceptional editing and proofreading abilities and attention to detail.
  • Well-honed time-management skills, multi-tasking ability, and independent self-starter.
  • Experience and professionalism in working with highly confidential information.
  • Extensive experience with Microsoft Office tools, including Word, Excel, Outlook/Calendar, PowerPoint, Visio, Teams, and Zoom.
Working Conditions

This is a basic office setting with no unusual working conditions. The successful candidate will be required to work in a fast-paced environment and be able to multitask and prioritize tasks effectively.
