We are seeking a skilled Event Marketing Coordinator to oversee the administration, logistics, and coordination of various marketing events, including tradeshows. This role will serve as the primary contact for event-related activities and will facilitate communication between external vendors and internal teams.

Key Responsibilities:

  • Ensure compliance with company policies and BioFire Diagnostics Quality System.
  • Coordinate a variety of events such as conferences, training sessions, tradeshows, and sales meetings.
  • Conduct thorough research to assist staff in evaluating tradeshow opportunities.
  • Assist in budget calculations and provide regular updates to management regarding event progress.
  • Collaborate with internal teams to negotiate and finalize tradeshow contracts, including catering, audiovisual needs, and accommodation arrangements.
  • Manage logistics for tradeshows, including materials preparation and presentation support.
  • Oversee registration processes and track attendee participation, along with conducting evaluations before and after events.
  • Schedule and coordinate with speakers, vendors, and other participants involved in events.
  • Maintain detailed records of event timelines, tasks, and other critical information for comprehensive reporting.
  • Propose innovative ideas to enhance the planning and execution of events.
  • Exhibit a strong commitment to customer service and uphold high standards of quality.
  • Understand union labor regulations and collaborate with union labor vendors as necessary.
  • Familiarity with booth designs and setup procedures is essential.
  • Support the events team during larger events as required.

Additional Information:

International travel may be required, necessitating a valid passport.

Qualifications:

Education:

A Bachelor's degree in project management, hospitality, or a related field, or a high school diploma with relevant professional experience.

Experience:

Minimum of 5 years in coordinating business events, with at least 1 year focused on tradeshow management.

Skills:

Exceptional time management abilities, capable of prioritizing multiple projects and assignments from various stakeholders.

Proficient in anticipating project needs and meeting deadlines with minimal supervision.

Excellent interpersonal and communication skills, both verbal and written, with the ability to engage effectively with all levels of leadership.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

Physical Requirements:

This position is primarily sedentary but may require lifting heavy materials (up to 50 lbs.) and standing for extended periods during events.

Domestic travel is expected, with potential for some international travel.
