We are seeking a skilled Event Marketing Coordinator to oversee the administration, logistics, and coordination of various marketing events. This role will serve as the primary contact for event-related activities, acting as a liaison between external vendors and internal teams.

Key Responsibilities:

  • Ensure compliance with company policies and the BioFire Diagnostics Quality System.
  • Organize events such as conferences, training sessions, trade shows, and sales meetings.
  • Conduct thorough research to assist in evaluating trade show opportunities.
  • Assist in budget calculations and provide regular updates to management regarding event progress.
  • Collaborate with internal teams to negotiate and finalize contracts for trade shows, including catering, audiovisual needs, and accommodation arrangements.
  • Oversee logistics for trade shows, including presentation materials and support.
  • Manage attendee registration and track participation, as well as evaluate events post-completion.
  • Coordinate schedules for speakers, vendors, and other participants.
  • Monitor timelines for trade shows to ensure all deadlines are met.
  • Maintain detailed records of all event-related information for comprehensive reporting.
  • Propose innovative ideas to enhance the planning and execution of trade shows.
  • Exhibit exceptional customer service and uphold high quality standards.
  • Understand and comply with union labor regulations when working with vendors.
  • Familiarity with booth design and installation processes is essential.
  • Support the events team as necessary during larger gatherings.

International travel may be required.

Qualifications:

Education:

A Bachelor’s degree in project management, hospitality, or a related field, or a high school diploma with relevant professional experience.

Experience:

Minimum of 5 years in coordinating business events, with at least 1 year specifically in trade show management.

Skills:

Excellent time management and prioritization skills, with the ability to handle multiple projects simultaneously.

Strong interpersonal and communication skills, both verbal and written, with a proven ability to engage with all levels of leadership.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

Physical Requirements:

This position primarily involves sedentary work but may require occasional lifting of heavy materials (up to 50 lbs.) and standing for extended periods during events.

Domestic travel is expected, with potential for some international travel.
