We are in search of a detail-oriented and strategic Event Technology Coordinator to enhance our events team. In this pivotal role, you will oversee the design, development, and management of event registrations through the Cvent platform for various occasions. This position requires collaboration with both internal and external partners to fulfill event requirements and achieve objectives.

*This role is hybrid, requiring presence in the office at least two days a week.*

Key Responsibilities
  • Design and tailor intricate event registration websites, mobile applications, email communications, and attendee feedback surveys utilizing the Cvent platform.
  • Oversee event processes including registration, payment handling, attendee coordination, and reporting.
  • Establish and manage workflows for registration requests and project oversight.
  • Define reporting needs and create dashboards to assist stakeholders, providing regular updates on registration status.
  • Collaborate with the internal travel team to implement and manage integrations.
  • Support travel management and conduct audits.
  • Act as the primary user for product updates and training on the Cvent platform, including resolving technical issues.
  • Develop and launch mobile applications to align with event goals and provide technical support during events.
  • Offer guidance and training to other event staff on effective use of Cvent.
  • Coordinate with IT to ensure compliance and system whitelisting.
  • Assist in managing event budgets and timelines, covering logistics, financial oversight, production schedules, vendor timelines, and creative deliverables.
  • Support the planning and execution of smaller events as directed by leadership.
  • Provide on-site assistance during events.
  • Stay informed on industry trends and best practices in event management.
Qualifications
  • Minimum of 3 years of hands-on experience with the Cvent platform, including design, management, and reporting functionalities. Proficient in creating events with diverse registration types and travel integrations, with a strong grasp of UX best practices.
  • Analytical mindset to derive valuable insights from data.
  • Comprehensive understanding of event registration principles and the ability to anticipate attendee needs.
  • Outstanding interpersonal skills, capable of building trust and relationships with clients, executives, and teams.
  • Exceptional written communication skills.
  • Skilled in influencing others, able to convey complex information with clarity and patience.
  • Strategic thinker with a creative approach and a commitment to delivering exceptional experiences.
  • Strong collaboration abilities with sales, marketing, creative, and communication teams.
  • Proven track record in establishing event metrics and achieving success.
  • Highly motivated with exceptional organizational skills.
  • Proficient in MS Office, particularly Excel and PowerPoint.
  • Able to thrive in a fast-paced environment and manage ambiguity while maintaining quality.
  • Calm and focused under pressure.
  • Willingness to travel and work evenings and weekends as necessary.
Preferred Qualifications
  • Experience with Asana and Smartsheet.
  • Familiarity with Swoogo.
  • Design skills in Canva or Photoshop.
