$70,000 - $75,000 with a comprehensive benefits package including employer contributions.

Position Overview:
The Administrative Executive Coordinator provides high-level administrative support to an Executive and their team. This role involves prioritizing requests to align with business goals and ensuring smooth daily operations.

Key Responsibilities:
  • Demonstrate a minimum of 3 years' proficiency with Microsoft Office Suite.
  • Possess at least 5 years of experience in office administration.
  • Draft routine executive communications.
  • Organize and maintain official documents and records systematically.
  • Address a wide range of inquiries efficiently.
  • Manage the executive's calendar effectively.
  • Coordinate logistics for meetings and events.
  • Conduct research for various projects as needed.
  • Compile and prepare reports and presentations using tools like PowerPoint and Excel for executive review.
  • Edit and proofread documents meticulously.
  • Provide confidential administrative assistance to the executive.
  • Handle incoming correspondence and prioritize accordingly.
  • Schedule appointments, meetings, and travel arrangements.
  • Act as recording secretary for committees, managing meeting schedules and documentation.

Additional Duties:
  • Perform complex administrative tasks, including meticulous record-keeping.
  • Adhere to confidentiality and compliance protocols.
  • Manage information routing and communication as required.
  • Exhibit strong organizational and time management skills to meet deadlines.
  • Respond independently to various inquiries.
  • Participate in research efforts for specific projects.
  • Serve as the first point of contact for the executive, managing visitor and call screening.
  • Type documents and correspondence from drafts with precision.
  • Comply with workplace safety standards.

Knowledge, Skills, and Abilities:
  • Expertise in Microsoft Office Suite (Word/Excel/Access/PowerPoint) with a typing speed of 65+ wpm.
  • General understanding of industry-related issues, particularly in Medical Managed Care/Medicaid.
  • Ability to interact professionally with all levels of staff.
  • Exceptional interpersonal, verbal, and written communication skills.
  • Commitment to maintaining attendance and supporting work quality.
  • Uphold confidentiality and comply with HIPAA regulations.
  • Ability to foster positive working relationships with colleagues and clients.

Education Requirements:
Associate's Degree or equivalent experience

Experience Requirements:
Minimum of 2 years in an Executive Assistant role.
