Job Overview: The Executive Assistant will deliver high-level administrative support to an Executive and the division team. This role involves prioritizing requests from management and clients to achieve business goals while ensuring the smooth operation of daily administrative tasks.

Key Responsibilities:

  • Demonstrate proficiency with Microsoft Office Suite, with a minimum of 3 years of experience.
  • Possess at least 5 years of experience in office or clerical roles.
  • Draft routine executive correspondence with professionalism.
  • Organize and maintain official documents and records systematically.
  • Address a wide range of inquiries effectively.
  • Keep the executive's calendar meticulously updated.
  • Coordinate all necessary arrangements for meetings.
  • Conduct research for various projects as needed.
  • Compile and prepare reports and presentations using tools like PowerPoint and Excel for executive review.
  • Edit and proofread materials to ensure accuracy.
  • Provide confidential administrative support to the executive.
  • Manage the executive's mail, including sorting and prioritizing.
  • Schedule appointments, meetings, and travel plans efficiently.
  • Act as a recording secretary for meetings, ensuring accurate minutes are taken.

Additional Responsibilities:

  • Execute complex secretarial tasks, including meticulous record-keeping.
  • Adhere to confidentiality protocols and compliance standards.
  • Handle information routing, including copying and faxing as requested.
  • Exhibit excellent organizational and time management skills, meeting all deadlines.
  • Respond independently to a variety of inquiries.
  • Assist with external research for projects as necessary.
  • Serve as a receptionist, managing visitor and call screening.
  • Type various documents from rough drafts with accuracy.
  • Comply with workplace safety standards.

Knowledge, Skills, and Abilities:

  • Extensive knowledge of Microsoft Office Suite, including advanced features.
  • General understanding of industry-related issues, particularly in Medical Managed Care.
  • Ability to interact professionally with all levels of staff.
  • Strong interpersonal, verbal, and written communication skills.
  • Maintain consistent attendance to support work quality and quantity.
  • Uphold confidentiality and comply with HIPAA regulations.
  • Foster positive working relationships with colleagues and clients.

Required Education:

Associates Degree or equivalent experience.

Required Experience:

A minimum of 2 years in an Executive Assistant role.
