Position Summary: The Program Support Specialist is responsible for delivering comprehensive administrative and operational assistance to the program management team. This role encompasses the coordination and execution of program activities, ensuring a seamless workflow, and supporting the attainment of program goals. The Program Support Specialist will be instrumental in maintaining effective communication and collaboration within the team and with external partners.
Key Responsibilities:
- Prepare and manage program documentation, including reports, presentations, and correspondence.
- Schedule and coordinate meetings, conferences, and other program-related events.
- Assist in the formulation and monitoring of project plans, timelines, and deliverables.
- Track program milestones and provide regular updates to the program management team.
- Collaborate with internal and external stakeholders to ensure timely task completion and issue resolution.
- Support the preparation of program budgets and monitor expenses against approved budgets.
- Collect, compile, and analyze program data to facilitate decision-making and program evaluation.
- Prepare data summaries, charts, and graphs for reports and presentations.
- Maintain accurate and up-to-date databases and records.
- Act as a point of contact for program inquiries and provide information to stakeholders as necessary.
- Facilitate effective communication within the program team and with external partners.
- Assist in the development and distribution of program-related materials, such as newsletters, brochures, and website content.
- Ensure program activities adhere to relevant regulations, policies, and procedures.
- Participate in program audits and assist with the implementation of corrective actions.
- Support continuous improvement initiatives to enhance program efficiency and effectiveness.
Qualifications:
- Bachelor's degree preferred; equivalent work experience may be considered in lieu of a degree.
- 2+ years of experience in program support or administrative roles.
- Experience in government contracting is required.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and program management tools.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail and accuracy in work.
- Strong problem-solving skills and the ability to think critically.
