Pittsburgh Regional Transit is in search of an Executive Administrative Coordinator for Finance who will oversee the organization and execution of various administrative functions that significantly influence the internal operations of the Finance Department.

This role encompasses a diverse array of responsibilities related to PRT's initiatives and addresses numerous administrative tasks, including routine office duties and departmental engagements, alongside professional correspondence.

Key responsibilities may involve providing administrative assistance such as drafting and formatting a variety of documents, managing incoming and outgoing communications, coordinating schedules, and organizing meetings and travel arrangements, as well as handling mail and processing timesheets for division personnel.

The position reports directly to the Chief Financial Officer and requires a commitment to maintaining a high level of confidentiality, trust, and effective relationship management.


Core Responsibilities:

  • Develop and prepare documentation for the Finance Division's presentations to community organizations, committees, state and local partners, and interagency meetings.
  • Organize appointments and prepare for meetings, conferences, and travel; ensure approval of schedules with relevant stakeholders for the division chief and associated staff.
  • Compose, format, edit, and maintain reports, correspondence, memoranda, and policy documents for the Chief Financial Officer and related division personnel.
  • Manage incoming and outgoing mail for the division chief, including logging and routing correspondence and coordinating deliveries.
  • Handle and prepare confidential documents with discretion.
  • Engage in, monitor, and execute various assignments and projects that are typically complex and span multiple departments within PRT, requiring foundational knowledge of PRT and its interactions with the Department of Transportation and other local transportation agencies.

Qualifications:

  • An Associate's Degree in Business Administration, Public Administration, or a related field from an accredited institution. Relevant experience may be considered in lieu of formal education on a year-for-year basis.
  • The ideal candidate will have at least three (3) years of experience in leading significant organizational activities, managing multiple responsibilities, and coordinating efforts directly for a senior leadership team member or executive.
  • Proven ability to identify challenges and assess, recommend, and implement solutions to address complex organizational issues.
  • Capacity to build collaborative relationships with both internal and external stakeholders.
  • Excellent written and verbal communication skills, along with strong listening abilities.
  • Proficient presentation skills and the capability to engage with a diverse range of stakeholders.
  • Ability to work independently with minimal supervision and demonstrate initiative.
  • Competence in managing multiple tasks efficiently.
  • Demonstrated proficiency in Windows, Word, and Excel.

Preferred Qualifications:

  • A Bachelor's Degree in Business Administration, Public Administration, or a related field from an accredited institution.
