We are seeking to fill the position of ADMINISTRATIVE EXECUTIVE & MARKETING COORDINATOR based in our Pittsburgh, PA office. This role will provide vital support to our executive team and presents a unique opportunity to be integral to our operations.

KEY RESPONSIBILITIES:

Executive Support:
  • Effectively manage the calendars, appointments, and travel logistics for the executive team as necessary.
  • Draft and refine correspondence and reports for executive review.
  • Serve as a liaison between executives, staff, and external stakeholders.
  • Facilitate inquiries from customers, vendors, and subcontractors through various communication channels, ensuring timely follow-up.
  • Organize and oversee meetings, events, and conferences.
  • Uphold confidentiality and manage sensitive information with care.
  • Coordinate travel arrangements, meetings, and accommodations for the team.
  • Maintain corporate documentation in an orderly fashion, planning ahead for renewals and annual updates.
  • Oversee surety bond requirements, renewals, approvals, and overall scheduling.
  • Manage requests for certificates of insurance.
  • Collect and maintain necessary approvals for contract evaluations and similar requirements.
  • Coordinate Board Meetings and requests with Executive Management.
Marketing and Business Development Assistance:
  • Assist in marketing and business development initiatives as needed.
  • Collaborate with the Executive team to synchronize company-wide announcements for optimal messaging and timing. Create internal and external communications as required.
  • Support the development and distribution of marketing materials and content in collaboration with the marketing team.
  • Help plan and execute business development and marketing events and activities.
  • Engage with the marketing and business development team on the Pre-Qualification Process for new clients and renewals for existing clients.
REQUIREMENTS:
  • Preferred Bachelor's degree in business administration, marketing, or a related discipline.
  • Over 10 years of experience in executive support, customer service, or a similar role within a complex organization.
  • Outstanding organizational and time management abilities.
  • Capability to manage multiple tasks simultaneously and navigate conflicting priorities.
  • Excellent written and verbal communication skills.
  • Meticulous attention to detail and a strong commitment to confidentiality.
