Position Summary:

We are in search of a meticulous and professional Executive Assistant to provide support to our executive management team comprising four members. This role is essential for the coordination and execution of all administrative responsibilities related to the management of the SMS group - Americas region, which generates $1 Billion in revenue. Your contribution will be vital in maintaining seamless and effective operations within our dynamic and fast-paced setting.

Key Responsibilities:

  • Deliver timely, efficient, and effective assistance to the executive management team.
  • Oversee the executive team's calendar, organizing and preparing for both internal and external meetings.
  • Coordinate accurate and confidential information on behalf of the executive management team to local leadership, international colleagues, external clients, suppliers, and all employees within the Americas region.
  • Draft and refine correspondence, communications, presentations (utilizing PowerPoint & Microsoft Excel), and other essential documents.
  • Collaborate with local and international travel teams to arrange business travel and accommodation, including the completion of expense reports for the team.
  • Facilitate and coordinate approvals in accordance with delegations of authority, including capital expenditure requests, proposals, contracts, and other documents requiring executive management approval.
  • Provide comprehensive administrative and clerical support services, including filing, records management, mail handling, photocopying, and compilation of manuals and reports.
  • Offer a broad range of corporate records and management support.
  • Manage the executive inbox, including scheduling and flagging items for approval and action.
  • Proactively follow up on tasks requiring action on behalf of the executive management team.
  • Lead the social committee, overseeing and planning company events.
  • Perform general administrative and office coordination tasks as necessary.

Qualifications:

  • Associates or Bachelor's degree in Business Administration, Management, or a related field is preferred.
  • A minimum of 5 years of experience providing administrative and executive support at a senior level, ideally supporting two or more individuals simultaneously.
  • Proficient in PowerPoint and Excel.
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Exhibit high levels of initiative and the ability to work independently with minimal supervision.
  • Demonstrate discretion when handling confidential matters, maintain honesty in all interactions, and adhere to all internal policies.
