Position Overview

This role is situated within the Office of Child Care (OCC) under the Administration for Children and Families (ACF). The incumbent will function as a Senior Administrative Coordinator, providing essential support to the leadership team, which includes the Director, Deputy Director, Associate Deputy Director, and Division Directors across five divisions. This position encompasses a broad spectrum of executive assistance and administrative responsibilities.

Key Responsibilities

  • Manage and coordinate Outlook calendars for senior leadership, ensuring timely updates on activities and commitments while resolving scheduling conflicts.
  • Organize, prioritize, and execute tasks effectively to meet multiple workload objectives with meticulous attention to detail, thereby enhancing office operational efficiency.
  • Oversee administrative arrangements for essential operational services, including conference room bookings and audiovisual setups for hybrid meetings.
  • Work autonomously with professionalism and discretion to undertake special assignments that require a deep understanding of ACF's mission.
  • Prepare senior leadership for meetings and conferences by developing fact sheets, status reports, and briefing materials.
  • Exhibit strategic thinking and sound judgment to manage a high volume of requests based on their significance and urgency.
  • Welcome visitors and handle communications from high-ranking officials, screening calls and addressing inquiries as appropriate.
  • Facilitate travel arrangements, including itinerary preparation and confirmation of all necessary travel logistics.
  • Assist in the management of office correspondence, memos, and reports, ensuring accurate tracking and processing.
  • Draft, edit, and finalize various documents, including reports and briefing materials, ensuring high-quality presentation.
  • Support the coordination and execution of special projects as needed.
  • Manage technology setups for meetings and engagements.
  • Contribute to the completion of staff performance plans and coordinate basic management services and supplies.
  • Utilize office automation software, including Excel and Smartsheets, to track and manage data efficiently.
  • Act as a liaison for administrative activities, ensuring smooth communication and coordination among staff.
  • Handle sensitive and confidential information with the utmost care and integrity.
  • Perform additional duties as assigned.

Qualifications

  • A minimum of three (3) years of relevant experience.
  • Associate's Degree.
  • Proficient in calendar management and meeting coordination.
  • Exceptional verbal and written communication skills.
  • Ability to maintain composure under pressure and exhibit strong interpersonal skills.
  • Collaborative team player with a focus on supporting leadership.
  • Strategic thinker with problem-solving capabilities.
  • Technical aptitude for troubleshooting office equipment and technology.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Customer service-oriented with a proven ability to interact with all management levels.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, etc.).
  • Eligibility to obtain and maintain Public Trust clearance.
