Position Overview:

Palmer Legal Staffing is in search of a Senior Administrative Coordinator to provide comprehensive administrative support to the firm's leadership team. This role is pivotal in ensuring the smooth operation of the firm's daily activities and contributes significantly to the success of the leadership's practice. The ideal candidate will not only handle traditional administrative responsibilities but will also engage in activities that foster business growth, nurture client relationships, and manage essential communications.

Work Arrangement: Hybrid schedule, with a requirement of three days on-site.

Compensation: $107,000-$145,250

Key Responsibilities:

  • Establish and maintain positive relationships with assigned partners, associates, clients, and external vendors.
  • Efficiently manage a dynamic calendar, coordinating appointments, meetings, and events.
  • Collaborate closely with partners to keep them informed of upcoming obligations and proactively address any scheduling conflicts.
  • Prepare the partner for daily responsibilities, including meetings and travel arrangements.
  • Act as a gatekeeper, ensuring optimal use of the partner's time and maintaining a productive schedule.
  • Draft and manage correspondence, ensuring confidentiality and attention to detail.
  • Oversee document management, maintaining organized electronic and paper files in compliance with confidentiality standards.
  • Coordinate travel logistics, ensuring adherence to firm policies and preferences.
  • Handle billing processes, reviewing invoices for accuracy and consistency, and assisting in client billing inquiries.
  • Support business development initiatives by maintaining client contacts and assisting in the preparation of marketing materials.
  • Engage in practice administration tasks, including report preparation and project management.

Qualifications:

  • 5+ years of experience in a similar role within a law firm or corporate environment.
  • Proficient in Microsoft Office Suite and familiar with billing software.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to work independently and collaboratively within a team.
  • Commitment to maintaining confidentiality and ethical standards.
