Position Overview

The National Academies of Sciences, Engineering, and Medicine is seeking a dedicated Senior Administrative Coordinator to provide comprehensive support to our executive leadership. This role is pivotal in managing communications and facilitating program development initiatives.

Key Responsibilities

  • Program Development Assistance: Act as a liaison between the senior executive and various stakeholders, including federal agencies and foundations, to explore program development opportunities. Responsibilities include:
    • Conducting thorough research to prepare for meetings and creating presentation materials.
    • Coordinating meeting schedules and arranging travel logistics.
    • Managing financial documentation, including expense reports, ensuring adherence to budgetary constraints.
  • Divisional Committee Coordination: Provide logistical and communication support for a high-level divisional committee. Duties encompass:
    • Organizing bi-annual meetings, including venue selection and IT arrangements.
    • Preparing agendas and briefing materials.
    • Creating a quarterly newsletter for committee updates.
  • Internal Communications Support: Assist in the dissemination of internal news and information. Responsibilities include:
    • Maintaining and updating the division's intranet site.
    • Scheduling staff meetings and inviting guest speakers.
    • Organizing monthly social events for division staff.
    • Developing a monthly newsletter for staff communication.
  • Administrative Oversight: Support the Executive Director in daily office operations. Key tasks include:
    • Managing the Executive Director's calendar and scheduling appointments.
    • Screening incoming calls and welcoming visitors.
    • Handling correspondence and determining appropriate delegation of tasks.
    • Preparing materials for meetings and writing correspondence as needed.
    • Coordinating conference calls and maintaining records and databases.
    • Overseeing general office management duties.
  • Special Projects Management: Oversee the administration of special projects, including staff meetings and outreach events.

Qualifications

  • Knowledge, Skills, and Abilities: Strong problem-solving skills, ability to work independently, and experience in a complex organizational environment.
  • Education: Associate's degree in a relevant field or equivalent experience.
  • Experience: A minimum of six years in a related administrative role.
  • Physical Requirements: Capability to work at a computer for extended periods.

Work Environment

This position operates in a hybrid office/telecommute setting, with an expected onsite presence of 40%.

Compensation

The National Academies is committed to equitable compensation practices. The estimated salary range for this position is $70,880 - $88,600, based on relevant experience and qualifications.
