Position Overview:
Nationwide IT Services (NIS) is in search of a highly skilled and professional Senior Administrative Coordinator who excels in managing the daily operations of senior executives within a pivotal office of the Federal government.

Key Responsibilities:
  • Manage appointments, calendars, schedules, and provide exceptional customer service.
  • Screen all visitors and calls, take messages, and monitor follow-up communications, acting as a gatekeeper.
  • Return calls when necessary or appropriate.
  • Direct administrative issues to the appropriate personnel.
  • Handle mail, correspondence, and reports efficiently.
  • Prepare briefing materials and documents ahead of meetings, ensuring timely requests from Senior Staff.
  • Organize meeting agendas, reserve rooms, and inform participants of scheduling procedures and changes.
  • Facilitate virtual meetings and track attendance as required.
  • Engage in internal and external communication tasks.
  • Assist in meeting preparation and provide necessary support.
  • Coordinate travel arrangements for Senior Staff upon request, including all logistics through the agency's travel management system.
  • Support other divisions with travel arrangements as needed.
  • Research travel requirements and liaise with host sites to ensure necessary preparations are communicated effectively.
Qualifications:
  • A Bachelor's degree or higher is preferred.
  • Proficient in advanced computer skills, particularly with Microsoft Office Suite and internet research.
  • Exhibit excellent verbal and written communication abilities.
  • Capable of managing a variety of situations and conflicts related to clerical and administrative functions.
  • Handle confidential and time-sensitive information responsibly.
  • Prepare daily briefing materials for leadership effectively.
  • Utilize experience and judgment to plan and achieve goals while adapting to leadership needs.
  • Demonstrate multitasking abilities, supporting multiple personnel and projects, while maintaining professionalism in high-pressure environments.
  • Prior experience in a federal agency is advantageous.
  • A minimum of eight (8) years of relevant experience as an Executive Assistant to high-level executives is required.
