CTR Management Group, LLC is in search of a proficient Senior Administrative Coordinator to provide essential support to the Federal Transit Administration (FTA), Office of Civil Rights (TCR).
Key Responsibilities:
- Act as the primary administrative support for Senior Office Leadership and FTA TCR personnel.
- Develop and implement systems to effectively manage reminders, both physical and digital files, ensuring alignment with departmental policies.
- Organize and coordinate internal and external meetings, including securing venues and preparing necessary technology setups.
- Attend meetings to capture and structure notes for future reference.
- Research and arrange travel logistics, adhering to federal travel regulations and agency guidelines.
- Serve as a liaison between internal teams and external stakeholders.
- Provide telephone support for the Branch or Division Office as required.
- Oversee deadlines and maintain relationships with FTA TCR personnel.
- Assist in the preparation and review of various reports, presentations, and other documents, ensuring accuracy and timely distribution.
- Prepare monthly, quarterly, and annual progress reports, along with any additional reports as necessary.
- Process all Government Printing Office requests for materials related to workshops and conferences.
Qualifications:
- Demonstrated ability to organize and manage a diverse range of activities with precision and accuracy.
- Capacity to work independently and collaboratively in a dynamic environment.
- Exceptional time management skills, capable of handling multiple projects under tight deadlines.
- Strong problem-solving abilities, with a proactive approach to analyzing issues and recommending solutions.
- Excellent communication skills, both written and verbal, with a focus on customer service.
- Familiarity with the Government Style Manual is preferred.
Experience:
- A minimum of 5 years of executive administrative experience.
- At least 3 years of experience within the federal government is preferred.
- High School diploma or GED required.
- Proficient in Microsoft 365 applications, particularly Outlook, Teams, SharePoint, Excel, Word, and PowerPoint.
- Typing proficiency of at least 35 WPM.
- Ability to obtain and maintain a government-required Public Trust clearance.
Physical Requirements:
While performing the duties of this role, the employee must be able to remain stationary for extended periods and frequently operate office equipment. The position may require occasional lifting of boxes weighing up to 20 pounds and moving about the office.
