In this role, you will serve as a Senior Administrative Coordinator, providing essential support to the DHS CWMD Office in Washington, DC. This position allows for partial telework, requiring 1-2 days on-site as directed.
Key Responsibilities:
As a Senior Administrative Coordinator, you will collaborate with a team of administrative professionals across various divisions within the DHS CWMD Office, assisting Agency leaders in managing their complex schedules and responsibilities.
- Answer phone calls, take messages, forward inquiries, and provide appropriate responses.
- Schedule and coordinate meetings, events, interviews, and appointments.
- Draft, edit, and ensure timely responses to various written communications, including Executive correspondence.
- Track and manage incoming and outgoing correspondence, ensuring timely coordination among relevant parties.
- Prepare and maintain files, both electronic and hard copy, in compliance with DHS policies.
- Assist in the creation of presentations, reports, and educational materials for internal and external audiences.
- Resolve administrative issues and recommend best practices to enhance efficiency.
- Support special projects for Senior Executive Service Managers.
- Facilitate security clearances and other processing requirements for staff and visitors.
- Prepare statistical and narrative reports as well as PowerPoint presentations.
Qualifications:
Applicants should possess an Associate's degree along with a minimum of 10 years of relevant experience or an equivalent combination of education and experience. Strong written communication skills, proficiency in word processing and integrated software applications, and exceptional organizational abilities are essential.
Working Conditions:
This role may involve unconventional hours due to the nature of crisis management. The position is situated in a dynamic office environment, subject to frequent changes in priorities. Normal working hours are Monday through Friday, with the possibility of extended hours as required.
Successful candidates will demonstrate the ability to work independently, exercising sound judgment and discretion in task execution while being receptive to guidance on assignments.
